Linking Participants Across Platforms for Accurate Compensation

In many research studies, participants are recruited through external platforms, and researchers need a reliable way to connect participant records across systems to track survey completion and provide compensation. Platforms such as IPSOS are examples where only limited identifiers are available, making it important to use structured formats to maintain both accuracy and privacy.

Connecting Participants Using Identifier Labels

To address this, we implemented a solution in Avicenna. Participants were instructed to use a specific username in an email format in external platforms such as IPSOS, and the format was shared with us. Avicenna automatically extracted the prefix from this username and assigned it as a label. For example, a username like participant123@platform.com would generate the label participant123. These labels served as unique identifiers, creating a link between Avicenna and other systems.

Tracking Completion and Compensation

An API was provided to report completion rates for each participant. The researcher received a CSV file containing each participant’s label, their platform ID, and the number of surveys completed. This enabled accurate and efficient compensation based on verified participation.

Conclusion

Using structured identifiers and automatic label extraction in Avicenna offers an effective way to link participants across systems. This method supports accurate tracking, facilitates compensation, and helps protect privacy when needed.
